This Privacy Policy explains how Datumra Ltd collects, uses, shares and protects personal data in connection with VC26: The Datumra Venture Competition.

It applies when you register for VC26, enter the competition, nominate someone, join the VC26 community, apply to judge, partner with us, sponsor the competition, attend a VC26 event, communicate with us, or otherwise interact with VC26.

3.2 Application and competition data

This may include: Competition category, Business or venture description, Founder story, Application answers, Pitch materials, Product links, Demo links, Video submissions, Supporting documents, Customer, traction or impact information, Funding stage or fundraising information, Revenue bands or business stage information, where requested, Shortlisting status, Finalist status, Winner status, Judge notes, scores and feedback, Internal assessment notes.

3.3 Nomination data

If someone nominates a founder, company, project or venture, we may collect: Nominee name, Nominee email address, Nominee company or project, Nominee country or region, Reason for nomination, Nominator name, Nominator email address, Nominator relationship to the nominee, Any other information submitted with the nomination.

3.4 Community and event data

This may include: Event registration details, Attendance records, Community profile details, Questions, comments and messages, Video, audio or chat contributions during events, Feedback forms, Survey responses, Photos or recordings from VC26 events, where applicable.

3.5 Marketing and communication data

This may include: Email preferences, Consent records, Communication history, Newsletter sign ups, Event updates, Founder resource downloads, Partner or sponsor enquiries, Responses to VC26 campaigns.

3.6 Technical and usage data

When you use VC26 websites, forms, platforms or digital services, we may collect: IP address, Device information, Browser type, Operating system, Referring website, Pages viewed, Links clicked, Date and time of access, Form progress, Application completion status, Cookie and analytics data, Security logs.

We do not usually require sensitive personal data to enter VC26. We may also collect personal data from other sources, including: Nominators, Co founders or team members, Judges, Advisers, Mentors, Sponsors, Partners, Investors, Public websites, Public social media profiles, Public company registers, Public press, media or directory sources.

5. How we use personal data

We may use personal data for the following purposes.

5.1 Running the competition

This includes: Registering entrants, Processing applications, Managing nominations, Checking eligibility, Preventing duplicate entries, Reviewing application materials, Allocating entries to categories, Managing judging stages, Creating shortlists, Selecting finalists and winners, Administering prizes, Communicating important updates, Managing competition deadlines, Handling questions or complaints.

5.2 Judging and assessment

This includes: Sharing applications with judges, advisers and internal reviewers, Scoring applications, Reviewing supporting materials, Carrying out verification checks, Recording judging notes, Preparing finalist and winner materials, Managing conflicts of interest, Protecting the fairness and integrity of VC26.

5.3 Publicity and promotion

This includes: Announcing shortlisted entrants, finalists and winners, Creating founder profiles, Publishing company names, founder names, category information and public summaries, Sharing winner stories, Creating press, social media and event content, Producing VC26 reports, updates and promotional materials, Promoting Datumra, VC26 and related activities.

We will aim to use application information fairly and respectfully. We will not knowingly publish confidential commercial information or highly sensitive personal information without permission.

5.4 Community, events and founder support

This includes: Providing VC26 community access, Sending event invitations, Hosting webinars, showcases or finalist events, Matching founders with relevant mentors, advisers, partners or opportunities, Providing resources, guidance and updates, Managing event attendance, Responding to accessibility requests.

5.5 Investor, partner and sponsor opportunities

This includes: Introducing selected entrants, finalists or winners to relevant investors, partners, sponsors or ecosystem supporters, Preparing pitch showcases or founder directories, Sharing public or approved application summaries, Managing partner offers or sponsor benefits, Supporting prize delivery.

5.6 Marketing and communications

This includes: Sending VC26 updates, Sending competition reminders, Sending application completion reminders, Sending founder resources, Sending Datumra and Datumra OS updates, Sending event information, Sending partner or community updates, Measuring engagement with emails and campaigns.

You can unsubscribe from marketing emails at any time. Essential competition messages may still be sent where needed to administer VC26.

5.7 Security, fraud prevention and legal compliance

This includes: Protecting our websites, systems and platforms, Preventing fraud, abuse, spam, fake entries and misuse, Enforcing VC26 Terms and Conditions, Managing disputes, Complying with legal obligations, Responding to lawful requests from authorities, Maintaining records, Protecting Datumra, entrants, judges, partners, sponsors and the wider VC26 community.

5.8 Internal reporting and improvement

This includes: Analysing application numbers and completion rates, Understanding category demand, Improving forms, communications and competition experience, Producing anonymised or aggregated insights, Measuring marketing performance, Improving future VC26 programmes.

Where possible, we use anonymised or aggregated data for reporting and insights.

6. Lawful bases for processing

Where UK GDPR, EU GDPR or similar laws apply, we rely on one or more lawful bases to process personal data.

These may include: Contract, Legitimate interests, Consent, Legal obligation, Vital interests, Public interest.

Our legitimate interests may include running VC26, assessing entries, preventing fraud, promoting the competition, supporting founders, building the VC26 community, protecting our systems and improving our services.

We may share personal data with: Datumra team members, Competition judges, Advisers, Mentors, Investors, Sponsors, Partners, Prize providers, Event providers, Community platform providers, Website and form providers, CRM and email providers, Cloud hosting providers, Analytics providers, Security and fraud prevention providers, Professional advisers, Regulators, courts, law enforcement or public authorities, Other third parties where you have given permission or where sharing is necessary for VC26.

We only share personal data where we have a reason to do so and where appropriate safeguards are in place.

Judges, advisers, investors, sponsors and partners may be independent third parties. They may have their own privacy policies and legal responsibilities.

Datumra is based in the United Kingdom, but VC26 is intended for a global audience. Your personal data may be transferred to, stored in or processed in countries outside your country of residence, including the United Kingdom, United States, European Economic Area and other countries where Datumra, its service providers, judges, advisers, partners, sponsors or systems operate. We keep personal data only for as long as reasonably necessary for the purposes described in this Privacy Policy. Retention periods may depend on: Whether you entered VC26, Whether you were shortlisted, selected as a finalist or named as a winner, Whether you joined the VC26 community, Whether you consented to marketing, Whether we need records for legal, tax, accounting, audit, dispute or security purposes, Whether the data appears in public VC26 content, Whether we need to maintain historical competition records.

As a guide: Incomplete applications may be kept for up to [insert period] after the competition closes. Submitted applications may be kept for up to [insert period] after the competition ends.
